Welcome to Scan-It ("we," "our," or "us"). Scan-It is a document scanner and OCR application developed by Scan-It. We are committed to protecting your privacy and ensuring the security of your personal information.

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application Scan-It (the "App"). Please read this privacy policy carefully. By using the App, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Information You Provide Directly

When you use Scan-It, you may provide us with the following information:

Documents and Images: Scanned documents, imported images, and photos captured within the app for document processing and PDF creation.
Signatures: Digital signatures you create using the signature capture feature.
Document Metadata: Names, tags, and organizational labels you assign to your documents.
Account Information: If you use Google Sign-In for cloud backup features, we receive your name, email address, and profile photo from Google.
Security Settings: PINs, passwords, or biometric preferences you configure for document protection.

2.2 Information Collected Automatically

When you use the App, certain information is collected automatically:

Device Information: Device type, model, operating system version, unique device identifiers, and hardware specifications.
App Usage Data: Features used, session duration, screens viewed, and interaction patterns.
Crash Reports: Technical information about app crashes including stack traces, device state, and error logs.
Log Data: Server logs that may include your IP address, device type, and app activity timestamps.

2.3 Information Collected by Third Parties

Our App integrates third-party services that may collect information independently. See Section 5 for details about each third-party service.

3. How We Use Your Information

We use the collected information for the following purposes:

Provide Core Functionality: Enable document scanning, OCR text extraction, PDF creation, image editing, barcode generation, and signature capture.
Cloud Backup Services: Sync and backup your documents to Google Drive (stored in your personal Google account).
Improve App Performance: Analyze crash reports and usage data to fix bugs, optimize performance, and enhance user experience.
Display Advertisements: Show personalized or contextual advertisements to support free app features.
Security Features: Enable document protection through PIN, password, or biometric authentication.
Customer Support: Respond to your inquiries, feedback, and support requests.
Feature Development: Use aggregated, anonymized data to develop new features and improve existing ones.

4. Data Storage and Security

4.1 Local Storage

Your documents and app data are primarily stored locally on your device:

SQLite Database: Document metadata, tags, settings, and organizational data are stored in a local database.
File System: Scanned documents, PDFs, and images are stored in the app's private storage directory.
Encrypted Credentials: Sensitive credentials are encrypted using AES256-GCM encryption.

4.2 Cloud Storage

If you enable Google Drive backup:

Your documents are backed up to the appDataFolder in your personal Google Drive account.
We do not have access to your Google Drive data; it remains under your control.
Backup data is protected by Google's security infrastructure.

4.3 Security Measures

We implement appropriate security measures to protect your information:

HTTPS-only network communications for all data transfers.
AES256-GCM encryption for sensitive stored credentials.
Biometric and PIN protection for document access.
No server-side storage of your documents (documents remain on your device or your Google Drive).

5. Third-Party Services

Scan-It integrates the following third-party services. Each service has its own privacy policy governing data collection:

                Note: ML Kit Document Scanner and ML Kit OCR process all images locally on your device. No document images are sent to external servers for these features.
            

6. App Permissions Explained

Scan-It requests the following permissions to provide its functionality:

Camera

Required to capture document photos for scanning. The camera is used only when you actively scan documents or capture images within the app.

Storage (Read & Write)

Required to save scanned documents, PDFs, and images to your device, and to import existing images or documents from your gallery for processing.

Internet

Required for cloud backup to Google Drive, displaying advertisements, sending crash reports, and analytics data collection.

Biometric (Fingerprint/Face)

Optional permission used for secure authentication when you enable biometric protection for locked documents. Your biometric data is processed locally by Android's biometric system and is never transmitted to us.

Notifications

Optional permission to send you important notifications about backup status, app updates, or promotional offers (if you opt in).

7. Data Retention

We retain your information as follows:

Local Documents: Stored indefinitely until you delete them or uninstall the app.
Cloud Backups: Stored in your Google Drive until you delete them or revoke app access.
Analytics Data: Retained by Firebase for up to 14 months.
Crash Reports: Retained by Firebase Crashlytics for 90 days.
Advertising Data: Retention periods vary by ad network (see their respective privacy policies).

You can delete your local data at any time by clearing app data or uninstalling the app. To delete cloud backup data, access your Google Drive and remove the Scan-It backup folder.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

8.1 Access and Portability

You can access your documents and data directly within the app. Use the export feature to download your documents in PDF or image format for portability.

8.2 Correction

You can edit, rename, or retag your documents at any time within the app.

8.3 Deletion

You can delete individual documents, clear all app data, or uninstall the app to remove local data. For cloud backups, access your Google Drive settings to revoke app access and delete backup data.

8.4 Opt-Out of Personalized Ads

You can opt out of personalized advertising by:

Adjusting your device's ad settings (Settings > Google > Ads)
Resetting your advertising ID
Upgrading to a premium subscription (ad-free experience)

8.5 Account Disconnection

To disconnect your Google account from Scan-It:

Go to your Google Account settings
Navigate to Security > Third-party apps with account access
Remove access for Scan-It

9. Children's Privacy

Scan-It is not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at healthkeeper.apps@gmail.com, and we will take steps to delete such information.

If we discover that we have collected personal information from a child under 13 without parental consent, we will promptly delete that information.

10. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that are different from your country.

When we transfer data internationally, we take appropriate safeguards to ensure your information remains protected. Our third-party service providers (Google, Facebook) have their own data transfer mechanisms and comply with applicable data protection laws.

By using Scan-It, you consent to the transfer of your information to countries outside your country of residence, including the United States, where our service providers may process your data.

11. California Privacy Rights (CCPA)

If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA):

Right to Know: Request information about the categories and specific pieces of personal information we collect.
Right to Delete: Request deletion of your personal information.
Right to Opt-Out: Opt out of the "sale" of personal information. Note: We do not sell personal information in the traditional sense, but ad networks may be considered a "sale" under CCPA.
Right to Non-Discrimination: We will not discriminate against you for exercising your CCPA rights.
